Financial Aid EdConnect Software Notes
Description:
This is a software used to upload and download data to the feds.
Currently the users are Karen Ash, Leslie Lloyd, Frank Lister, and Julie Nunn
Basically, the database and installers are in \\alb-fs01\groups\FA\IAMDATA\database
This is the path you will need to do the WORKSTATION install.
When we have a new user, they need to be added by Karen (or someone in the security group, typically the director of FA). They will need to have a fed account (they set this up) and every time they login they use the app or a usb widget to get a code.
The directions per the support are below. If all else fails, contact their support.
In the future, please send only requests for additional tokens to the TFA_Communications@ed.gov address. For all CPS-related questions (regarding EDconnect, EDExpress, FAA Access to CPS Online, ISIR’s or the SAIG Enrollment website), please contact CPS/SAIG Technical Support by phone at: (300) 330-5947 or via email at: CPSSAIG@ed.gov.
I don’t quite understand what you mean by the highlighted portion of your email (below), but the first set of instructions below are for adding a new user’s FSA User ID to the login screen if there is currently no one there who can log in. If there IS someone who can log in, you may follow the second set of instructions.
Assuming there is no one else listed on the authentication screen (if there is and they are still at your institution, have them log in and add you to the appropriate group(s) on the Security View screen), you can either reinstall the software and start over with a blank database or follow the instructions below.
Make sure no one else is logged in to the software before following the instructions below.
Before following the instructions below, you should make a backup copy of the database file (edconn8.mdb). To do so:
Browse to wherever the edconn8.mdb file is located on your system (this location is printed along the bottom of the EDconnect window).
Right-click on the file and select Copy.
Browse to a different folder of your choosing.
Right-click in the white space and select Paste.
Then return to the location specified on the bottom of the EDconnect window and double-click on the edconn8.mdb file. It will open if your computer has Microsoft Access installed (if it does not, you will need to install it for the rest of these instructions to work). You may see several messages that refer to a “missing or broken reference” that you may disregard. You will have to hit OK on each one to get it to disappear. Eventually, these messages will stop appearing.
You may or may not be prompted to make this a trusted document. If so, select Yes.
On the left hand side, you will see several tables. Click on the one that says tbl_Security Users. You will see the list of everyone who has a login for EDconnect. You will need to replace the former user’s FSA User ID with your own in the UserID column. If their FSA User ID is on the screen multiple times, you should replace their user ID with yours everywhere you see it (unless your ID is also already in the same group). Do not change anything else. Microsoft Access updates in real time, so you do not need to select Save after updating the user id information. Just close Access by clicking the X in the upper right-hand corner when you've replaced the former user's ID with your own.
When you start EDconnect again, you should see your FSA User ID listed as an option.
If you don’t have/can’t get Microsoft Access or are for any other reason unable to open the edconn8.mdb file, the only other option is to reinstall the software. Perform a Local Install and create a new, blank database and start “from scratch”. You will most likely want to call us for assistance with that.
If you have difficulty with or questions about the above instructions, please call us for assistance.
To have a new user's FSA User ID added to the login screen, have someone whose FSA User ID is listed log into the software and follow the steps below:
Go to File, New, and select the Security View.
Right-click the Group ID of the group to which you are adding the user and select Insert. (Note that the group the person is logged into is displayed at the bottom of the screen.)
Enter the user's FSA User ID and name.
Select Next four times.
Select Finish.
To ensure that the new user's downloads go to the correct location:
Right-click on the FSA User ID of a current user under the same Group ID and select Properties.
Select the Directories tab.
Check the box for Set all users of this group to the specified directories.
Select OK.
Then close the software and reopen it. The user's FSA User ID should now be an option on the login screen under the appropriate Group ID.
