Best Practices: Syncing Google Calendar with Zoom

While the Zoom add-on for Google Calendar is a convenient way to schedule meetings, it has a significant limitation regarding synchronization. To ensure your meetings run smoothly, keep these tips in mind:

  • After the meeting is created: If you need to modify the date, time, add to the guest list, title, security settings (passcodes/waiting rooms), alternative hosts, or recording options, you must make these changes directly within your Zoom web portal or desktop app. Changes to these specific fields in Google Calendar often fail to push back to Zoom.

  • Managing Guest Access: If you need to remove a guest from a sensitive meeting after the invite has been sent, simply deleting them from the calendar may not revoke their access to the Zoom link. To secure the meeting, you should:

    1. Update Security: Enable a Waiting Room or change the meeting passcode in Zoom.

    2. Start Fresh: Delete the original meeting and create a new one with a unique Meeting ID to ensure only the intended participants have the link.
